👩‍💻👨‍💻 Role

From early-stage startups to publicly traded companies, thousands of businesses trust Stable to operate their mailroom and a core component of this earned trust is our fast and reliable mail operations.

As Head of Mail Operations you will ensure we continue to provide an exceptional operational experience — proactively overseeing, improving, and owning our logistics network to ensure our customers receive their mail quickly, affordably, and reliably as we scale to service hundreds of thousands of businesses.

You will build a deep understanding of our end-to-end mail operations by working directly in processing centers and coaching teams of specialists. You will work closely with product teams to invent novel solutions to complex operational problems and rework process changes throughout our logistics network to increase efficiencies. You will also sit on our leadership team, owning and reporting on operational KPIs to ensure that we’re able to scale. 

This is a foundational role — an exceptional candidate will have the ability to zoom-out to proactively think long-term and zoom-in to get into the weeds and solve specific operational bottlenecks.

Stable is growing rapidly, and so is the volume of mail we process. Here are a few examples of responsibilities you will own: 

  • Iteratively improve mail operations — Identify areas for operational improvement throughout our address network, mail processing centers, and quality assurance teams. The goal is to deliver mail faster and more affordably, while also driving down the rate of error. 
  • Own the strategy and execution for long-term physical operations — ensure we continue to provide an exceptional operational experience by building a world-class team, proactively planning for bottlenecks and capacity constraints, and sitting on our leadership team as we scale.
  • Launch our next generation processing center — launch our next generation processing center which will have the capacity to process 1M+ pieces of mail per month.

This role is ideal for someone who enjoys working in a fast-paced environment, has a strong attention to detail, and a deep sense of ownership. You will play a key part in building the foundation of Stable’s mail operations.

✅ What you'll do

  • Lead and optimize warehouse operations
    • Build a deep understanding of our end-to-end mail operations by working directly in facilities and visiting processing centers
    • Identify and create processes necessary to get work done, design processes that allow managing from a distance; seek ways to constantly improve processes, from small tweaks to complete reengineering 
    • As a member of Stable’s leadership team, be responsible for the success of mail operations objectives and KPIs required to join Board meetings and report on progress
  • Improve mail operations through product collaboration
    • Help build our mail operations product team
    • Identify and prioritize improvements to our software systems
    • Work directly with engineers and designers to implement software and operational process improvements
  • Manage processing center teams + data entry teams
    • Oversee and manage all Stable owned and non-Stable owned processing center teams
    • Scale warehouse teams and internal operations to consistently meet / exceed mail volume and customer demand
    • Foster open dialogue and collaboration, a feeling of belonging and strong team morale, share wins and reward team efforts
    • Coach and develop others through feedback, exposure, stretch assignments, etc
    • Ensure accountability by establishing clear responsibilities and processes for monitoring work and measuring results
  • Work with and decision on data
    • Proactively build and analyze forecasts and models to answer key questions related to headcount planning, resource allocation, and capacity requirements 
    • Predict staffing requirements and develop training programs to ensure continuity of stellar service

✨ Requirements

  • Previous experience working with physical operations or adjacent (3+ years) — strong examples of reworking process changes in a warehouse/facility
  • Previous experience with complex data analysis — strong examples of evidence based decision making
  • Experience building and managing a world-class team
  • Proficient with data analytics tools like Excel, Metabase, and SQL
  • Excellent communication, collaboration, and analytical skills. 
  • Ability to travel multiple times per quarter
