👩‍💻👨‍💻 Role

As Stable’s first Processing Center Manager, you will oversee the operations of our New York City processing center, ensuring that our customers’ physical mail is processed accurately and efficiently. Stable is growing rapidly, and so is the volume of mail we manage for our customers. Your responsibilities will span location management, operational oversight, and team leadership. 

A few of your responsibilities will include:

  • Oversee daily operations — Manage and complete mail processing workflows, ensuring tasks are completed efficiently and customer requests (e.g., scanning, shipping, shredding, returning mail) are fulfilled on time.
  • Maintain facility readiness — Ensure that mail processing equipment operates safely, inventory levels are tracked, and any issues are reported and resolved promptly.
  • Optimize and scale operations — Identify areas for improvement in operational workflows, collaborate with the team to implement changes, and scale processes to support growth.
  • Team management — Hire, train, and manage a team of Processing Center Specialists, creating a collaborative and motivated environment that supports individual and team success.
  • Manage incoming mail — Receive, sort, and upload incoming mail into Stable’s software system. Fulfill customer requests, such as scanning, shipping, shredding, and returning mail.

You’ll be instrumental in driving the quality and efficiency of Stable’s processing center, helping to shape the foundation of our physical operations while wearing many hats to tackle challenges and drive impact.

✅ What you'll do

  • Manage the processing center's daily operations, ensuring customer requests (e.g., scanning, forwarding, shredding) are fulfilled accurately and on time while adhering to mail processing procedures.
  • Perform mail operations tasks, including sorting, barcoding, scanning, forwarding, depositing checks, and shredding, ensuring efficient processing.
  • Lead and manage a team of Processing Center Specialists by hiring, onboarding, scheduling, and coaching to foster a motivated and collaborative team environment.
  • Track and maintain inventory and mail processing equipment, coordinate repairs, reorder supplies, and ensure readiness to support daily operations.
  • Maintain vendor relationships, including shredding and mail forwarding services.
  • Collaborate cross-functionally with the broader Stable team to address customer inquiries and escalate support requests as needed.
  • Identify and resolve mail discrepancies or issues with deliveries to ensure timely resolutions.
  • Track and report quality and efficiency KPIs, providing actionable insights for improvements.
  • Recommend and implement process enhancements to increase operational efficiency and scalability.
  • Communicate operational updates effectively with team members and leadership.
  • Maintain a deep understanding of Stable’s processes and ensure alignment with company standards.
  • Uphold a safe and efficient work environment for all team members.

✨ Requirements

  • Ability to work in person Monday to Friday.
  • Bachelor’s degree or equivalent experience in logistics, operations, or team management.
  • Strong leadership and team management skills, with the ability to motivate and develop team members.
  • Excellent communication skills for collaborating with team members, leadership, and third-party vendors.
  • Familiarity with inventory management, process improvement, and using software systems for task tracking and reporting.
  • Ability to create and manage schedules, ensuring adequate coverage and efficient team operations.
  • Strong organizational skills with a detail-oriented mindset to implement and refine standard operating procedures.
  • Commitment to accuracy and the ability to identify and resolve operational discrepancies effectively.
  • Capacity to lift and carry mail and packages weighing up to 30 lbs as needed.
  • Proactive problem-solving skills and adaptability in a fast-paced and evolving environment.
  • Experience or willingness to learn technical troubleshooting and maintenance of mail processing equipment.
  • Offers are conditional on successfully passing a background check.
